Job Summary
The Clinic Administrator is responsible for the efficient day-to-day operations of a joint psychiatry and psychology clinic. This role ensures seamless administrative support for clinicians and patients, managing appointments, billing, records, and overall clinic coordination. The ideal candidate is highly organized, proactive, and capable of providing excellent customer service in a healthcare setting.
Key Responsibilities1. Front Desk & Patient Relations
- Greet and assist patients in a professional and empathetic manner.
- Manage appointment scheduling, confirmations, and follow-ups.
- Handle patient inquiries via phone, email, and in person.
- Ensure smooth patient flow within the clinic.
2. Administrative & Operational Support
- Maintain and update patient records, ensuring compliance with confidentiality regulations.
- Coordinate clinic schedules for both psychiatrists and psychologists.
- Handle clinic correspondence and documentation.
- Assist in preparing reports and maintaining clinic databases.
3. Billing & Financial Administration
- Process payments, issue invoices, and track outstanding accounts.
- Coordinate with insurance providers for claims processing.
- Maintain financial records and assist with basic bookkeeping.
4. Compliance & Clinic Maintenance
- Ensure adherence to healthcare regulations and clinic policies.
- Maintain a clean, organized, and professional clinic environment.
- Oversee supplies inventory and place orders as needed.
- Assist in managing vendor relationships.
5. Support for Clinical Team
- Assist psychiatrists and psychologists with administrative needs.
- Coordinate patient referrals and liaise with external healthcare providers.
- Organize meetings, take minutes, and follow up on action items.
Requirements & Qualifications
- Diploma in Business Administration, Healthcare Management, or a related field.
- At least 2 years of experience in a healthcare or clinic administrative role preferred.
- Strong interpersonal and communication skills.
- Proficiency in office software and clinic management systems.
- Ability to multitask, prioritize, and work independently.
- Understanding of medical confidentiality and data protection regulations.
- Experience with insurance claims processing is a plus.
Job Type: Full-time
Pay: $2,700.00 - $3,206.43 per month
