Executive Assistant to Chief Executive Officer
The Executive Assistant will play a pivotal role in providing high-level administrative, operational, and strategic support to the Executive. This position encompasses tasks ranging from financial oversight and market research to scheduling and preschool administrative assistance under Executive's portfolio companies (FinTech, Investment, Pre-school). Key Responsibilities
1. Executive Support and Scheduling
• Coordinate the Executive’s calendar, appointments, meetings, and travel arrangements.
• Organize and prioritize emails, calls, and correspondence, ensuring prompt follow-up and clear communication.
• Prepare meeting agendas, take minutes, track action items, and manage related documentation.
2. Financial Management and Analysis
• Assist in budget preparation and monitoring, providing regular financial reports and forecasts.
• Collaborate with the finance team on invoice processing, receipt tracking, and payment coordination.
• Conduct basic financial analyses (e.g., expense tracking, cost-benefit analyses) to support data-driven decisions.
3. Market Research and Reporting
• Gather, analyze, and present market data that aligns with organizational goals or strategic initiatives.
• Identify trends, emerging opportunities, and potential risks, providing insights to inform business strategies.
• Maintain organized records of research findings for easy reference by the Executive and relevant stakeholders.
4. Operations and Project Management
• Coordinate internal processes and projects, ensuring that tasks are assigned, deadlines met, and deliverables achieved.
• Maintain accurate records and documentation, including project plans, internal reports, and operational workflows.
• Assist with vendor management, such as sourcing, contract negotiations, and overseeing service delivery.
5. Preschool Administrative Support
• Provide on-site assistance for day-to-day preschool operations, including arrival and dismissal procedures.
• Support enrolment and registration processes, maintaining accurate children’s records and documentation.
• Handle billing, fee collection, and petty cash management related to preschool activities.
• Serve as a liaison between the Executive and the preschool’s leadership team to address inquiries and operational needs.
Requirements and Qualifications
• Diploma or Degree in Business Administration, Finance, or a related field preferred.
• Proven experience in administrative or executive assistant roles, with exposure to financial tasks and project coordination.
• Strong analytical skills for financial management and market research, with the ability to interpret data and provide recommendations.
• Proficiency in MS Office (Word, Excel, PowerPoint); familiarity with accounting or project management software is an advantage.
• Excellent communication, organizational, and interpersonal skills.
• Ability to prioritize, multitask, and handle confidential information with discretion.
• Demonstrated interest in, or willingness to learn about, early childhood education and preschool operations.
