Job Overview:
As a Finance & Admin Executive, you will manage day-to-day financial operations and administrative tasks related to our wholesale ice cream business. Your responsibilities will include overseeing financial record-keeping, managing accounts payable and receivable, handling vendor relationships, and ensuring that administrative processes run smoothly. You will play a key role in supporting the business's growth by maintaining accurate financial data and ensuring efficient back-office operations.
Key Responsibilities:
Finance & Accounting:
- Accounts Payable & Receivable:Manage accounts payable, including processing supplier invoices and ensuring timely payments.
Oversee accounts receivable, ensuring timely collection of payments from clients.
Monitor overdue payments and follow up with clients to ensure the prompt collection of outstanding balances.
- Reconciliation & Reporting:Perform regular bank reconciliations to ensure accurate financial reporting.
Provide reports on financial performance, including cash flow, profitability, and cost analysis, to management.
Administrative Support:
- Document Management:Manage and organize company records, contracts, purchase orders, and other important documents.
Ensure compliance with relevant business regulations, including food safety standards and licensing for wholesale distribution.
- Supplier & Client Communications:Handle communications with suppliers and clients, including processing orders and coordinating deliveries.
Liaise with suppliers regarding stock levels, order quantities, and lead times to ensure timely and accurate deliveries.
- Data Entry & Filing:Perform data entry tasks for both finance and administrative functions, ensuring all information is accurately recorded and up-to-date.
Maintain an organized filing system for invoices, receipts, contracts, and other key business documents.
Compliance & Reporting:
- Ensure compliance with financial regulations, including reporting requirements, tax filings, and other legal obligations for the business.
- Support the audit process by providing relevant documentation and assisting auditors as needed.
