Job Description for Administrative Support Personnel
Administrative & Finance Support
- Coordinate and prepare for meetings, including putting up and circulating the agenda, booking of meeting space.
- Assist with note taking and following up on action items to ensure completion according to agreed timeline.
- Maintain and update all documentation in shared drive as and when necessary.
- Support the SCRP Team by sourcing, vetting and coordinating with vendors and suppliers or as directed by the Senior/Manager of SCRP
- Invoice processing and provide other finance billing matters
- Coordinate with Research Team, to help ensure deliverables are completed within timeline.
Events Management & Support
1. Work with SCRP to assist with organizing webinars / seminars, workshops and conferences. This includes but is not limited to:
- Designing and distributing EDMs and invitation
- coordinating with speakers / guests
- managing event registration and tracking attendance
- collecting and compiling of event feedback
- following-up with attendees for any various requests
2. Providing secretariat support by:
- Answering and replying to delegate emails
- Assisting and following through with delegates on their queries
- work with NTU appointed vendors to make travel and accommodation arrangements
Requirements:
- Minimum Diploma in any discipline with 2 years of finance processing and admin experience
- Possesses high energy, able to work in fast pace environment
- Good communication skills
- Teamplayer, meticulous, organise
Working Hours: 8.30am to 5.40pm
Salary: S$3100 to $3500
Contract period: 6 months
