- Serve as the Administrative Head and support the Director in the day-to-day running of the Resilient Workforces Institute.
- Oversee the lnstitute's corporate governance by ensuring compliance with university policies & procedures, grant terms and conditions, as well as legal and regulatory requirements. This role will also serve as Secretariat to the lnstitute's governing/advisory bodies.
- Aid the Director with managing the lnstitute's stakeholders, preparing management/progress reports and presentations for internal departments and external parties. Track the progress of key deliverables to ensure the timely achievement of KPI commitments.
- Co-plan with the lnstitute's academic leadership team and execute the lnstitute's outreach programme and strategy for disseminating. key research findings and insights.
- Oversee the lnstitute's finances and partner the Director in steering the Institute towards financial selfsustainability within 5-7 years. This will involve preparing budgets, monitoring fund utilisation and balance across the lnstitute's various funding sources, preparing financial analyses and reports, and actively working with the lnstitute's affiliated faculty to seek out research grants and other fund-raising opportunities.
- Take charge of the lnstitute's financial and administrative operations, working with a lean staff team to manage faculty recruitment and administration, post-award grant administration, reimbursement claims to sponsors, processing invoices and expense claims, handling procurement and travel requests, preparing manpower requisition forms, hosting visitors, and providing event management support.
- Coordinate and convene regular meetings with the lnstitute's Faculty Leads, Fellows and Visiting Faculty.
- Other duties as assigned.
- Degree or equivalent with a minimum of 10 years' relevant working experience.
- Managerial experience, especially in the role of an administrative lead within a university setting.
- Able to run the operations of a major research centre, working collaboratively with both faculty and professional staff members.
- Familiar with academia and research, and how to navigate and operate effectively within such an environment. An understanding of Singapore's R&D funding landscape, and/or experience with research grant administration or faculty administration, will be advantageous.
- Strong administrative leadership and stakeholder management.
- Financial management skills, especially in budgeting .
- Well-versed with HR, legal, finance and procurement policies and processes .
- Good interpersonal and communication skills. Able to work effectively with various schools and offices across the university.
