Job Description:
  • Support the Administrative Head and Academic Director in the day-to-day running of the Resilient Workforces Institute.
  • Handle research administration activities including organising thematic Call for Proposals, looking after the post-award administration of projects, and assisting with the preparation of financial and progress reports.
  • Assist with faculty recruitment and faculty administrative activities under the Institute.
  • Support the lnstitute's administration and operations, including the tracking of budget utilisation, submission of reimbursement claims, processing of invoices, handling procurement and travel requests, and taking care of logistical aspects for visiting faculty.
  • Organise outreach activities and events including conferences, seminars, and workshops.
  • Coordinate and set up regular meetings with the lnstitute's faculty leads, fellows, visiting faculty, researchers, and other internal/external stakeholders.
  • Other duties as assigned.
Qualifications:
  • Degree with a minimum 3 years of relevant work experience (Diploma holders with minimum 6 years of relevant experience may also apply). Prior experience working with research administration or in academia would be advantageous.
  • Broad administrative skills and a keen learning attitude. Able to provide administrative assistance across different functions of finance, procurement, project management, event management and general administration.
  • Working understanding of general finance and procurement policies and processes.
  • Able to work with minimal supervision and collaboratively with various schools and offices .
  • Good communication and interpersonal skills .
  • Good spoken and written English .
  • Proficient in Microsoft Office applications and adept at using cloud-based applications (e.g., Zoom, SharePoint, Web CMS, etc).
