As the Executive Assistant, you will report directly to and support the company’s Director in executing our operational and strategic priorities, ensuring efficient work flows and facilitating smooth communication across the different departments. This role requires someone who is proactive, detail-oriented, highly organised with an ability to coordinate different stakeholders and manage project timelines seamlessly. The ideal candidate thrives in a fast-paced, growing environment and is comfortable with utilising technology to optimize processes and improve productivity.
Key Responsibilities:
- Act as a trusted liaison between the Director and internal and external stakeholders, operating as the primary point of contact for the Director by handling communications and tasks with discretion and sensitivity
- Organise and optimise the Director’s schedule and team deadlines, ensuring efficient scheduling and following up on action items while prioritising key commitments and business objectives
- Support the Director by preparing reports, managing ongoing projects and initiatives, including proposing meeting agendas, note taking, tracking milestones and deliverables of various projects to ensure accurate and timely execution
- Develop and update Standard Operating Procedures (SOPs) and manage company’s documents to allow easy access while maintaining confidentiality on a need to know basis
- Be able to support daily operational tasks, provide HR and administrative support, as well as cover team members when required
Requirements:
- At least 3 years of working experience as an Executive Assistant supporting senior management
- Highly organised with exceptional time management skills and high attention to detail
- Adaptable to changing priorities and able to multi-task effectively in a fast paced environment with minimal supervision
- Proactive problem solver who is able to anticipate needs and potential issues before they arise
- Strong interpersonal skills and discretion in handling sensitive information with confidentiality, professionalism and integrity
- Excellent written and verbal communication skills
- Comfortable with technology and able to use modern productivity tools (eg. Microsoft Office, Google Drive, Trello, Slack, etc)
