We are seeking a highly organized and detail-oriented Legal Secretary to provide administrative and clerical support to attorneys in a fast-paced legal environment. This role requires exceptional multitasking abilities, legal document management expertise, and strong communication skills to ensure seamless legal operations. The ideal candidate will be proactive, discreet, and adept at handling confidential information with the highest level of professionalism.
Key Responsibilities:
1. Legal Administrative Support
• Prepare, proofread, and format legal documents, contracts, pleadings, and correspondence.
• Manage and organize case files, exhibits, and evidence for litigation or corporate matters.
• Conduct legal research and compile background information as needed.
• Assist attorneys in filing court documents electronically and physically in compliance with legal procedures.
2. Calendar & Case Management
• Maintain and update attorneys’ calendars, hearings, and trial schedules.
• Coordinate meetings, depositions, client consultations, and court appearances.
• Track statutory deadlines and ensure timely submissions of legal filings.
3. Client & Stakeholder Communication
• Serve as a liaison between attorneys, clients, court officials, and external counsel.
• Draft and respond to client emails, letters, and legal correspondences.
• Maintain confidentiality when handling sensitive client information and case details.
4. Office & Billing Management
• Handle timekeeping, expense tracking, and invoice preparation for legal services.
• Assist in the preparation of legal billing and document retrieval.
• Manage office supplies, case materials, and administrative resources.
5. Compliance & Records Management
• Ensure proper document retention and compliance with legal protocols.
• Maintain an organized database of legal documents, contracts, and filings.
• Stay updated with court rules, legal procedures, and industry best practices.
Required Qualifications & Skills:
• Education: Associate’s or Bachelor’s degree in Legal Studies, Paralegal Studies, or a related field. A Paralegal certification is a plus.
• Experience: 2+ years of experience as a legal secretary, legal assistant, or paralegal in a law firm or corporate legal department.
• Technical Skills: Proficiency in Microsoft Office Suite, legal research platforms (LexisNexis, Westlaw), and case management software.
• Legal Knowledge: Familiarity with legal terminology, court procedures, and corporate or litigation processes.
• Communication Skills: Strong written and verbal communication with a high level of professionalism.
• Time Management: Ability to handle multiple priorities, tight deadlines, and high-pressure situations efficiently.
• Confidentiality & Ethics: Strict adherence to attorney-client privilege and legal confidentiality standards.
Preferred Qualifications:
• Experience in litigation, corporate law, intellectual property, or real estate law.
• Working knowledge of electronic court filing (ECF) systems and document management platforms.
• Notary Public certification (a plus).
