Responsibilities:

  • Operational Coordination:
  • Coordinate and communicate with the outsourced IT team.
  • Assist in manpower coordination and scheduling.
  • Support daily operational tasks.
  • Improve Standard Operating Procedures (SOPs) and operational efficiency.
  • Manage projects from initiation to completion.
  • Provide training to new staffs.
  • Able to travel from branch to branch if requested.
  • Administrative Support:
  • Manage the Director's correspondence, ensuring timely and appropriate responses.
  • Maintain the Director's office systems, including data management and filing.
  • Conduct research and follow up on action items for the Director.
  • Prepare documents, briefing papers, reports, and presentations.
  • Organize meetings, prepare agendas, and distribute meeting materials.
  • Assist in arranging funding partner and other events.
  • Greet and assist visitors.
  • Manage incoming and outgoing mail.
  • Screen and direct phone calls and distribute correspondence.
  • Manage the Director's electronic diary and schedule appointments.
  • Screen calls, inquiries, and requests, and handle them appropriately.
  • Manage emails.
  • Take dictation and minutes.
  • Create and format presentations and documentation.
  • Source office supplies.
  • Prepare reports and documentation for meetings.
  • Maintain office filing systems.
  • Assist with ad-hoc administrative and project requirements.
  • Assist in Book-keeping of the business and payroll.
  • Assist Training.
  • Interact and coordinate with clients and stakeholders.
  • Assist with report documentation and submission.
  • Financial Support:
  • Assist in bookkeeping and payroll.
