
Administrative Assistant - Oil and Gas MNC (6 Mon Contract , Pulau Bukom) - up to $3K
Scope of Work
1. Coordinate and Standardize Administrative Tasks
Ensure smooth daily operations by coordinating and standardizing administrative tasks within the Production Unit.
2. Onboarding Support for New Hires
Assist in the onboarding process, particularly for Process Technicians Training Programme (PTTP), including provision of Personal Protective Equipment (PPE), IT setup, and administrative support.
3. Support Production Projects
Provide administrative support for ongoing production projects as required.
4. Support Production Training & Competency Needs:
Collate and maintain training and assessment materials, supporting the training and competency development of production team members.
5. Identify Process Improvement Opportunities:
Continuously identify and suggest improvements in administrative processes to enhance efficiency and effectiveness.
6. Organize Production Unit Activities
Assist in organizing various activities for the production unit, such as away days, meetings, room bookings, and catering arrangements.
7. Process Purchase Orders (POs) and Purchase Requisitions (PRs)
Handle POs and PRs for central billing related to services like photocopying, facility management, HSSE essentials, and logistics.
8. Support Turnaround Coordinators
Provide administrative support during turnaround and shutdown periods.
9. Vendor Management and Inventory Control
Act as the focal point for managing vendor-managed inventory for pantry supplies, office supplies, stationery, and distribution of items like gifts.
10. Maintain Employee Records
Maintain records related to employee measurements of Flame Retardant Clothing (FRC).
11. Visitor Management
Coordinate visitor appointments and logistics for visits to the site, including visitor passes and PPE requirements.
12. Support Production Procedures
Assist in formatting procedures, converting them to appropriate formats like VERSA, and ensuring documentation is tracked and valid for continuous application.
13. Liaison with Training Program Owners
Collaborate with site training program owners to collect and maintain latest training materials and assessment checklists in a common portal for control purposes.
14. Maintain PTTP Training Records
Maintain and submit records of PTTP training programs as per regulatory requirements for subsidy/funding purposes.
15. Provide GSAP Training Support
Offer training support to production team members on basic GSAP (Global Service and Asset Protection) usage, acting as the focal point for PU’s administration related to GSAP.
16. Ensure Office Environment Standards
Maintain housekeeping standards in the PU office environment in coordination with Estate Management and assigned contractors.
17. IT System Management in Control Room
Manage IT systems within the control room to ensure smooth operations.
18. Support PUM & Real Estate in Renovation Projects
Assist the PUM and Real Estate team in managing renovation projects related to office spaces.
19. Office Security Management
Manage office security measures to ensure a safe working environment.
20. Organize Festive Celebrations
Coordinate and organize festive lunch celebrations for the production unit.
Requirements
· At least 2 year of relevant experience
· Proficiency with MS Office required.
· Must be able to multi-task and prioritize.
· Strong communication skills and organizational skills are required.
· Works with moderate work direction, and can identify issues/problems but may need assistance in resolving.
· Excellent verbal and written communication skills, MS Office (Word, Excel and PowerPoint) and email systems, strong administrative coordination abilities, customer service experience
