Position Overview: We are seeking a detail-oriented and proactive Admin cum Bookkeeper to handle both administrative duties and bookkeeping responsibilities. The ideal candidate will be skilled in managing office tasks while maintaining accurate financial records, contributing to the overall efficiency of the organization.
Key Responsibilities:
Administrative Duties:
Office Management:
Oversee the daily operations of the office, ensuring a smooth workflow.
Manage office supplies, equipment, and inventory; order items as needed.
Ensure that the office environment is well-maintained and organized.
Scheduling and Coordination:
Schedule meetings, appointments, and events for team members or executives.
Coordinate travel arrangements, hotel bookings, and itineraries as required.
Communication:
Handle incoming calls, emails, and other forms of communication, responding or redirecting them as needed.
Prepare and send out business correspondence, including emails and letters.
Document Management:
Organize, file, and maintain both physical and electronic records.
Ensure all documentation is up-to-date and readily accessible.
Human Resources Support:
Assist in onboarding new employees, including preparing necessary documentation and setting up workstations.
Help with the maintenance of employee records and other HR-related tasks.
Bookkeeping Duties:
Financial Transactions:
Record daily financial transactions in accounting software (e.g., QuickBooks, Xero).
Monitor and manage accounts payable and accounts receivable to ensure timely payments and collections.
Bank Reconciliation:
Reconcile bank statements with company records, identifying and resolving discrepancies.
Payroll Processing:
Process employee payroll, ensuring correct calculations for wages, taxes, and deductions.
Maintain confidentiality and accuracy in payroll records.
Financial Reporting:
Prepare regular financial reports, including balance sheets, income statements, and profit and loss statements.
Provide insights to management regarding financial health and performance.
Tax and Compliance:
Assist with the preparation of tax filings and ensure compliance with relevant tax laws.
Maintain records for tax purposes and assist with any audits or tax-related inquiries.
Budgeting and Forecasting:
Support the preparation of annual budgets and financial forecasts.
Monitor spending and ensure that financial operations align with the company's budget.
