MAIN PURPOSE

The Sales Operations & Administrative Executive will provide clerical and administrative support to the sales team in the Cosmetics & Fragrance Division. He/She must be highly organized, detail-oriented, and have excellent communication and customer service skills.

KEY RESPONSIBILITIES

Operations

• Provide administrative and operational support to Sales Manager

• Responsible for retailer new product listing, promotion templates and additional miscellaneous forms

• Manage team of Sales Representatives and ensure that the team has adequate product knowledge through product training and sales demonstrations

• Build and maintain effective relationships with key accounts/customers and establish strong in-store presence of brand/product

• Ensure inventory availability in distributors/customers according to the service level agreement

• Optimise efficiency of service and retail operations to improve productivity and management of inventory

Administrative

• Generate reports requested by sales team

• Processing returns from retailers

• Processing orders & FOC request from free standing store

• Managing retailers/vendors invoicing, creating & tracking POs & performing MIGO

• Providing monthly accruals of expenses incurred

• Assisting to submit retailers forms or request for the trade

• Consolidating field feedbacks on store issues & competitor updates

• Managing meetings and booking rooms

• Performing administrative tasks such as filing, photocopying, scanning documents etc.

• Maintaining client databases and updating customer contact information

• Managing product requisition & deliveries

• Maintaining regular inventory records & out of stocks update for trade

• Assisting with adhoc projects and job requests as needed

REQUIREMENTS

• Proven experience as an administrative assistant, sales support representative, or similar role, ideally minimum 2 years’ experience

• Strong written and verbal communication skills

• Proficient in Microsoft Office, with aptitude to learn new software and systems

• Excellent organizational and time-management skills and able to multitask

• Accurate data entry and attention to detail

• Have good analytical and creative problem-solving skills
