Viahart is looking for a Vendor and Product Specialist who will build connections with Chinese vendors, visiting factories or showrooms when needed. You’ll explain our company needs, collect detailed product information, and act as our company’s representative. You will also research and compare products to make sure we choose the best options. Your role includes adding and updating products on our website by following clear, step-by-step instructions. You’ll take simple photos or videos for marketing, and handle tasks like attending meetings, tracking logistics, and keeping records organized. Job Responsibilities

Vendor Relationship

  • Communicate with Chinese vendors to explain our company’s product requirements. (Fluency in Chinese is crucial.)
  • When required, visit vendors in China to foster relationships, clarify needs, and represent our company’s interests.
  • Identify the best product options that match our business requirements and highlight unique selling points or differentiators.
  • Gather detailed product information (specifications, photos, videos), either by requesting materials from vendors or capturing them on-site in factories or showrooms.
  • Act as the point person for all vendor-related interactions, ensuring our company’s standards and requirements are met.

Product Analysis and Sourcing

  • Research selected products on common Chinese platforms to confirm pricing aligns with the market average.
  • Occasionally, source specific products based on business demands.
  • Compile and compare product data in Excel/Google Sheets to help the team make informed decisions.
  • Understand distinctions between similar products, including quality differences and potential issues that might arise once products reach our target market.
  • Conduct on-site product quality checks, if required, to ensure items meet company standards.
  • Update master sheets with product information and make recommendations on suitability for our business portfolio.
  • Confirm packaging details to ensure they meet shipping requirements.

Product Portfolio Website

  • Learn and become proficient in our company’s product portfolio website.
  • Add newly selected products to the website according to a detailed SOP/Instruction guide, making sure all standards and details are correctly followed.
  • Collaborate with the team to propose which products to feature or remove based on performance and alignment with company goals.

Content Creation

  • Capture simple product videos to share with the team for social media or promotional use.
  • Take basic product photos to create or supplement website and marketing content.

Administrative

  • Attend online and in-person meetings, providing updates on assigned tasks and progress.
  • Use shared digital tools (spreadsheets, documents, etc.) to keep track of tasks and maintain organized records.
  • Coordinate logistics with vendors, tracking delivery timelines to ensure products arrive when and where they are needed.

Job Requirements

  • High integrity and passion for tackling new challenges.
  • Ability to maintain well-organized records and documentation across multiple products.
  • Fluent in Chinese with clear written and spoken English communication skills.
  • Detail-oriented and comfortable following instructions.
  • Interest in shopping and sourcing a variety of products.
  • Proficient in Google Workspace (Docs, Sheets) or similar.
  • Basic photo and video capture skills (using a smartphone) to create product content.
  • Availability to visit factories, showrooms, or vendor offices within China to review product samples and build relationships (Valid passport + Chinese visa)
  • Preferred candidates will have experience in e-commerce, logistics, or manufacturing.

Location

  • This will start as a remote position, but you must be available to work at our office once we open it in Johor Bahru, Malaysia, when required.
  • Travel to China when required.
  • You must be able to join our semi-weekly 9 AM Texas time meeting when needed.
  • If you are outside the Texas time zone, you must be available for at least two hours during Texas working hours.

Compensation and benefits

  • This job will start at $1,473USD a month, but is negotiable
  • You will be paid $680USD every 2 weeks
  • You will be paid in US Dollars
  • This is a full-time job with 40 hours of good work per week on average
  • Bonuses are given at the beginning of every February BASED ON MERIT. These range from 0% to 15% of yearly salary.
  • 10 working days of paid time off (aka 2 weeks) will be offered. You will get your vacation after a 3 month probationary period.
  • The US holidays of Memorial Day, July 4th, Labor Day, Thanksgiving, Christmas Day, and New Years Day are paid holidays. They are not deducted from your vacation.
  • You will need to work on Black Friday, Christmas Eve (you leave early), and New Years Eve (you leave early).
