- Provide administrative, planning & logistical support in managing resources and delivery of operations in a timely and efficient manner for all event/project management initiatives.
- Support and coordinate the work requirements of key events/project management functions across the Office and provide resources where needed, including performance of ad-hoc tasks or related duties as assigned by the reporting manager, where required.
- Render logistical support in the day-to-day operational needs and requirements according to events/project timelines.
- Administer proper documentation, records and databases for all events/projects.
- Provide secretariat support in scheduling meetings, preparing agendas and writing minutes/notes for meetings and report submissions.
- Provide administrative support for budgetary needs, monitor usage and coordinate payments.
- Work with function leads and external stakeholders to ensure events, programmes and initiatives are accomplished in an effective and efficient manner while adhering to all legislative, policy and procedural guidelines.
- Liaise with colleagues within the Department, across Departments and external stakeholders on operational matters and services such as procurement, finance and event/project matters.
- Diploma or equivalent in a related discipline with at least 2 years of relevant work experience.
- Candidates with other qualifications with at least 8 years of relevant work experience may also be considered.
- Prior work experience in a research/academic environment would be advantageous.
- Competent in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions.
- Able to manage and prioritise across different functions and stakeholders.
- Meticulous, well-organised and have good time management to work in a fast-paced environment.
