We are seeking a dedicated Legal Operations Executive to join the Office of Legal Affairs (OLA). The role is designed to support legal operations by managing data, reporting, and streamlining processes. The Executive will engage in data management and visualizations, coordinating with the Office of Data & Intelligence (ODI), and ensure the meticulous management of database records. Additionally, the role encompasses contributions to knowledge management initiatives, including creation of content, facilitate legal training, and departmental communications to elevate the visibility and impact of OLA’s services throughout the University.
Legal Operations
- Supporting Office of Legal Affairs’ (OLA) Associate Director in data management and the production of charts and data visualisation/ analyses
- Coordinating with Office of Data & Intelligence (ODI) for additional support
- Managing routine reporting and driving regular updating and closure of MatterSphere records
- Managing a proposed escalation framework for completion timelines
- Project management of efforts to devise and build departmental tools and processes to increase operational efficiency and automate where possible
Knowledge Management and Communications
- Creating and producing content, including templates, guidance notes, playbooks, checklists, self-help resources, training decks, videos, and other educational materials
- Supporting legal counsel on OLA’s knowledge management, education/training and community/relationship-building initiatives
- Planning and production of regular departmental communications to raise the profile, reach and influence of Legal
- Development of OLA staff portal to support delivery of legal literacy efforts
- Bachelor’s degree in Communication, Business Administration, Marketing or a related field
- A minor in the area of Data Science or Analytics; Statistics or Mathematics; Computer Science or information Technology would be highly advantageous
- Strong project management skills, including managing workflows and timelines
- Excellent interpersonal and communication skills to collaborate with cross-departmental teams.
- Familiarity with AI and automation tools used in legal operations would be an added advantage
- Proficiency in data analysis software (PowerBI, Python, SQL), Microsoft Office, legal tech tools, and web design, animation, and publishing tools (Canva, Adobe Creative Suite, Adobe After Effects, WordPress, Elementor)
