Executive Assistant, Secretary
Job Summary
We are seeking a dedicated and highly organized Executive Assistant to the Top Management to provide comprehensive administrative support. The ideal candidate will excel in multitasking, possess excellent communication skills, and have a strong attention to detail. This role requires discretion, professionalism, and the ability to handle sensitive information with utmost confidentiality.
Responsibilities:
- Complex Calendaring: Proactively manage and prioritize the meetings and appointments, ensuring efficient use of their time.
- Meeting Coordination: Organize and attend meetings, take detailed minutes (when applicable), and ensure prompt and accurate dissemination of communications from Senior Management to internal and external parties.
- Expense and Vendor Management: Manage expenses and vendors including purchase orders, invoices, etc.
- Travel Planning: Manage travel arrangements for the Top Management, including itinerary planning, accommodation, and transportation.
- Communication: Clear and strong verbal and written communication skills with both internal and external parties. Draft, proofread, and edit a variety of documents, including correspondence, contracts, meeting minutes, reports, speeches, and presentations.
- Project Management: Manage and maintain Top Management's special and strategic projects, handling confidential information
Requirements:
- Bachelor's degree/Diploma in a relevant field preferred.
- Relevant experience supporting senior management.
- Exceptional communication, interpersonal skills and stakeholder management skills
- Strong organizational and time management skills.
- Ability to handle and manage multiple projects at once
- Proficient in MS Office
