Property Executive
Professional management of all assigned tenancies, properties, and maintain key relationship among all stakeholders. The tasks will require flexibility, excellent organizational skill, and a keen attention to detail.
Main Responsibilities
• Oversee all aspects of tenants’ relationship with tenants, address their needs, and resolve any issues promptly.
• Handle lease agreements, renewals, terminations, and ensure compliance with terms and conditions.
• Conduct scheduled or ad hoc property inspections and visitations with tenants primarily for investigations on defects rectifications.
• Coordinate and oversee maintenance and repair activities, ensuring timely and cost-effective completion of work.
• Manage relationships with contractors and service providers, ensuring high-quality service and adherence to contractual obligations.
• Meticulous and thorough when reading all tenancy documents in order to provide sound advice to Tenant on their rights and obligations.
• Deep understanding on market norms in terms of Landlord and Tenant’s rights when come to addressing issue resolutions.
• Provide prompt, professional response and follow through regarding tenant inquiries, problems, and complaints.
• Manage the entire tenancy lifecycle, from onboarding new tenants (move-in) to lease renewals and pre-terminations and/or termination (move-out).
• Coordinate move-in for new tenants and move-out inspections for tenants vacating their premises.
• Update and maintain property condition reports with photos, specific descriptions and logs of repair work.
• Ensure compliance with all lease agreements, rental policies, and regulatory requirements.
• Requests for quotations from trusted and recommended contractors, evaluate and compare quotes and obtain consent from relevant parties to get work attended to.
• Act as a liaison between the parties (Tenant or Tenant’s Rep, Landlord or Landlord’s rep) to solve any problems. Maintain an issue log / record of calls and actions taken.
• Supervise contractors and maintenance staff for services and repairs to property if required.
• Ensure exceptional service delivery within each client's parameters, meeting or exceeding any SLAs.
• Maintain accurate and up-to-date property records, including leases, contracts, and financial documents.
• Ensure that reports, documentation and all administrative tasks are done timely and accurately.
Need to be responsive to duty calls beyond office hours including weekend or public holidays if required.
