The Project Secretary will provide essential administrative support to the Project Manager and the wider project team. This role involves assisting with project coordination, managing documentation, organizing meetings, handling communication, and maintaining administrative schedules. The Project Secretary will act as the focal point for administrative tasks, ensuring that all necessary administrative documentation for the project is properly prepared, filed, tracked, and accessible, while ensuring smooth operational efficiency within the project.

DUTIES & RESPONSIBILITIES

Administrative Support:

  • Assist in the creation, organization, and storage of project administrative documentation, including meeting minutes, stakeholder schedule arrangement, correspondence and so on. Ensure all documents are properly indexed and accessible to relevant team members.
  • Arrange project-related emails, phone calls, and other communications. Prepare and draft formal project correspondence as required (e.g., letters, meeting agendas, MoM).
  • Schedule and organize project meetings, including coordinating times, locations and meeting rooms. Prepare and distribute meeting agendas and take minutes during meetings. Follow up on action items and deadlines.
  • Support the Project Manager and the project team with calendar management, scheduling meetings, and coordinating travel arrangements.
  • Assist in the booking and coordination of travel arrangements, accommodations, transportation, and visas for project team members and external contractors or consultants in cooperation with HBA HR team.

Documentation Control & Reporting:

  • Support the project team in managing and controlling all project administrative documentation, including version control of the related documents. Ensure proper filing and easy retrieval of documents.
  • Assist in preparing project status reports, presentations, and progress updates for internal and Employer meetings and in compiling data concerned for weekly or monthly progress reports (or daily progress report during offshore work stage).
  • Maintain accurate records of project administrative documents. Ensure all documents are compliant with regulatory requirements and company standards.

Communication & Coordination:

  • Act as the liaison between the Project Manager, project team, contractors, and external stakeholders, facilitating effective communication and ensuring smooth project operations.
  • Coordinate with internal and external stakeholders, including clients, suppliers, contractors, and consultants, ensuring that all communications are clear and professionally managed.
  • Keep track of action items, deadlines, and project milestones. Follow up with team members to ensure tasks are completed on time.

Project Logistics and Support:

  • Assist in coordinating the supply of materials, equipment, and tools needed for the project team, tracking shipments, and ensuring timely deliveries.
  • Coordinate logistics for offshore work for the project team, such as supporting the preparation of permits, coordinating offshore team schedules, and ensuring all necessary documentation is in place for offshore personnel.

REQUIREMENTS

Education

  • Bachelor’s degree in Business Administration, Project Management, or a related field is desirable.

Experience

  • 3-5 years of administrative support experience, ideally within large-scale projects or in the energy, construction, or offshore wind industries.
  • Previous experience supporting a Project Manager and the project team and working in offshore or marine environments is a plus.

Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software (e.g., MS Project, Primavera, or similar) is plus.
  • Basic understanding of document management systems and version control.
  • Excellent verbal and written communication skills, with the ability to draft clear, concise, and professional correspondence.
  • Strong interpersonal skills with the ability to effectively interact with stakeholders at all levels.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Attention to detail and the ability to maintain accuracy in all tasks and documentation.
  • Ability to work collaboratively in a diverse team environment, both in-office and offshore.
  • Demonstrates initiative and can work independently with minimal supervision, while also being a team player.
  • Previous experience in an offshore or marine environment is a highly valued advantage.
  • Fluency in Korean is a plus.
