
Operations Executive (Clinical)
We are seeking a proactive and dedicated Operations Executive (Clinical) to support the daily administrative and operational functions of our clinic and HQ. This role requires a customer-focused approach to ensure seamless patient care, effective vendor coordination, and efficient clinical operations. The ideal candidate will be detail-oriented and resourceful, assisting in the management of daily operations across the organization. Additionally, this role will support the Operations Head in ensuring operational efficiency across the Group’s entities by overseeing facilities, corporate governance, and accreditation matters.
Key Responsibilities:
Reception & Patient Coordination:
- Provide a welcoming and professional experience for patients.
- Handle inquiries regarding clinic services and respond to telephone calls professionally.
- Manage patient appointments and scheduling efficiently.
Administrative Support:
- Maintain accurate and updated patient records.
- Guide patients through clinical procedures and insurance claims processes.
- Facilitate online billing, claims submissions for panel insurances, and financial counseling.
- Ensure smooth internal and external communication to optimize workflow.
- Arrange hospital admissions, laboratory, and imaging services as needed.
- Support discussions between patients and healthcare providers.
- Monitor clinic inventory levels and manage stock replenishment.
Clinical Assistance:
- Dispense medications following doctors’ instructions.
- Provide assistance during consultations when required.
- Maintain cleanliness and safety within the clinic premises.
- Ensure medical equipment is sterilized and hygiene protocols are followed.
Facilities Management:
- Oversee the regular maintenance of the Group’s facilities to ensure smooth operations.
- Supervise and coordinate daily operations for timely and effective service delivery.
- Implement standard operating procedures to uphold safety and functionality.
- Manage repair and refurbishment projects within the Group’s facilities.
- Ensure compliance with safety regulations and industry standards.
- Coordinate IT-related matters, including maintenance, troubleshooting, and vendor liaison.
Corporate Governance & Compliance:
- Manage the Group’s insurance portfolio to ensure adequate coverage.
- Oversee regulatory compliance, including monitoring and maintaining licenses (MOH, NEA, MOM).
- Track and manage the Group’s tenancy agreements.
- Facilitate internal and external corporate audits.
Accreditation & Empanelment:
- Manage accreditation processes with medical institutions and corporate insurance providers to maintain partnerships and service accessibility.
Job Requirements:
- Minimum ‘O’ Levels or Diploma.
- Strong interpersonal skills for effective communication with patients, healthcare professionals, and external partners.
- Diploma or equivalent qualifications in Business Administration, Operations Management, IT or a related field preferred.
- Experience in healthcare or corporate operations is beneficial.
- Strong problem-solving skills to address operational challenges effectively.
- Excellent communication and organizational skills.
- Ability to collaborate effectively with various stakeholders.
- Proficiency in IT systems and operational software will be an advantage.
- Ability to work on weekends when required.
