
Admin Executive Officer (1-year contract, up to 3.5k) (ID: 669072)
Responsibilities
- Perform full spectrum of admin/general affairs function (office equipment, pantry, stationery management)
- Verify and process expense claims and tax invoices
- Support general office matters as and when necessary (repair, upgrade, improvement, relocation)
- Arrange air ticket, hotel booking, logistics arrangement, visa application
- Maintain company membership and subscriptions
- Support and liaise various reports submission to HQ
- Plan and execute company events
- Support in group compliance matters
- Act as company fire warden and assist in emergency situations
- Support and assist employees to communicate with ICT support and external IT vendor
- Maintain and mange list of IT equipment and IT contracts
- Manage document storage
- Liaison with IT vendor for on-site service and manage its related documents and contracts
- Pantry & stationery management in ordering and maintaining
- Up keep office cleanliness and tidiness
- Reception duty (phone answering, receiving guests and courier
Requirements
- Minimally Diploma holder
- At least 2 year of relevant administrative experience
- Good communication skills and proactive
- Knowledge or interest in Japanese language or culture is a plus
- Prior experience in Resource Manager (system we use to processing invoice) will be advantageous
