
Operations Executive
The Operations Executive supports the Operations Manager (OM) by handling day-to-day coordination and administrative tasks. Focusing on ensuring smooth operational flow by managing schedules, monitoring performance, and ensuring compliance with policies.
Duties and Responsibilities shall include but are not limited to:
Operational Management
- Oversee daily ambulance deployment and scheduling to ensure optimal resource utilization.
- Coordinate and manage ambulance crews, including paramedics and drivers, to meet operational demands.
- Monitor real-time ambulance movements and address any logistical challenges promptly.
- Ensure all ambulance services are delivered according to Standard Operating Procedures (SOPs) and regulatory requirements.
- Implement and refine operational workflows for increased efficiency.
Regulatory Compliance & Safety
- Ensure compliance with the Ministry of Health (MOH) and other relevant regulatory standards.
- Conduct periodic checks on ambulance equipment, vehicle maintenance, and readiness.
- Maintain accurate documentation for audits, licensing, and accreditation purposes.
- Assist in incident investigations and recommend corrective actions to enhance safety and compliance.
Coordination & Communication
- Act as the main liaison between the ambulance operations team and external stakeholders such as hospitals, event organizers, and corporate clients.
- Communicate effectively with emergency response teams, dispatchers, and other healthcare providers.
- Handle customer inquiries and complaints related to ambulance services professionally and promptly.
Training & Development
- Assist in onboarding and training new ambulance crew members.
- Support the continuous professional development of ambulance teams by organizing training sessions and drills.
- Ensure that all ambulance personnel are updated on protocols and emergency procedures.
Administrative & Reporting Duties
- Maintain accurate records of shifts, deployments, and operational activities.
- Prepare and submit operational reports to management.
- Assist in budgeting and cost-control measures related to ambulance operations.
Requirements
- Diploma/Degree in Healthcare Management, Logistics, Business Administration, or a related field.
- At least 2 years of experience in operations management, or project management, preferably in healthcare or ambulance services.
- Excellent communication, problem-solving, and organizational skills.
- Ability to work in a fast-paced, high-pressure environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and dispatch systems.
- Ability to work shifts, including weekends and public holidays, as required.
- Prior knowledge of ambulance operations, emergency response protocols, and regulatory compliance is an added advantage.
