Purpose: Oversee the administrative duties and soft services (E.g.: Waste Management, landscape and building cleaning) to ensure the smooth operation of facilities and a maintaining a safe and pleasant working environment. This role requires strong organizational skills, excellent communication, and the ability to handle multiple responsibilities efficiently.
Key Area of Responsibilities:
- Managing the day-to-day administrative tasks within facility management department to ensure office environment is neat and pleasant.
- Conduct regular routine inspection on interior and exterior areas of building for any refurbishments and repair services needed.
- Managing the vendors and suppliers for facility-related services, such as cleaning, security, and maintenance while ensuring that all building and environmental regulations comply.
- Maintain and manage the administrative documents related to facility that it complies with the regulations.
- Manage the invoices for goods received or services rendered.
- Assist in implementing and enforcing facility management policies and procedures to ensure compliance with organizational standards and legal requirements.
- Support and participate in company continuous improvement program.
Qualification & Experiences:
- Diploma in Property & Facility Management or Building Management from a recognized tertiary institution
- Minimum 2- 5 years’ experience as Admin & Facility Coordinator preferably with Property Managing Agent Company
- Excellent communication and interpersonal skills
- Proficiency in office software (MS Office and AI tools)
- Problem-solving and decision-making capabilities
