Role Overview
We are looking for an Administrator/Executive (For an Import & Export company) to join our dynamic team. This position is perfect for someone who thrives in a fast-paced environment, has exceptional organizational skills, and enjoys working with a global network of clients and suppliers. Your role will focus on trade documentation, logistics coordination, and ensuring seamless communication across international borders. As part of our growing team, you will directly contribute to the development of our company and enhance our operational efficiency, helping us scale and serve our clients worldwide.
Key Responsibilities1. Documentation & Coordination
- Prepare, verify, and manage all types of international trading documentation, including invoices, sales orders, packing lists, and delivery orders (Note: No need to handle local Singapore customs documentation as we operate offshore; However Microsoft EXCEL is necessary).
- Extensive use of Microsoft Excel for creating quotations, tracking shipments, updating reports, managing data, and generating trade-related documents (Templates will be provided).
- Coordinate with our China-based team, suppliers, and international clients to ensure timely deliveries of shipments and containers (On Job Training is provided).
- Maintain accurate documentation on cloud storage and ensure proper version control for all orders.
- Monitoring our China teams activities and ensuring timelines / shipment schedules are adhered to.
- Verify and update inventory records after each shipment to maintain accurate stock data.
2. Client & Team Communication
- Act as the main point of contact between our Clients and China team ensuring smooth coordination and timely updates.
- Use communication tools such as: Slack, WeChat and Email to manage inquiries from clients / team. Such inquiries may include: quotations, order updates, shipments, inspection updates, and so forth.
- Clientele Focus: Our primary clientele is based in Latin America, including countries like Argentina, Paraguay, Mexico, and others. As such, fluency in Spanish is an advantage, although not mandatory. We understand that not everyone may be fluent in Spanish, and we will provide training to help you effectively use translation tools like Google Translate.
- Translation Requirement: Whenever emails or communications are received in Spanish, it is essential to translate and understand the client’s requirements before forwarding them to our team. This will help minimize errors in translation and ensure smooth coordination with our China-based team.
3. Coordination with China Team
- Proficiency in Mandarin is essential for liaising with our China-based team to ensure clear and accurate communication on orders, shipments, and other such inquiries/documentations. Mandarin will be crucial for efficient coordination in our day-to-day operations with suppliers and team members in China.
4. Operational Support
- Maintain, create and update (Using Excel) documents such as: Quotations, Sales orders, Invoices, Packing lists, contracts, etc.
- Assist with verifying documents and update of shipping schedules.
Qualifications & Requirements
- Education & Experience: Minimum 2 years of experience of general and all round administration with good knowledge and practical use of Microsoft Excel.
- Technical Skills: Strong proficiency in Microsoft Excel (e.g., Using templates to create invoices, packing lists, quotations as well as persistent updating of documentation.
- Language Skills: Fluency in English is required. Proficiency in Mandarin is essential for effective communication with our China team. Proficiency in Spanish is advantageous for liaising with our Latin American clients. However, if you are not proficient in Spanish, we will provide training and support in using translation tools like Google Translate (Spanish is not required but is an advantage).
- Organizational Skills: Strong attention to detail and the ability to manage multiple tasks efficiently in a fast-paced environment.
- Adaptability: Proactive, detail-oriented mindset with problem-solving capabilities, able to collaborate effectively in a growing SME.
