We're looking for an Executive Events Program Coordinator to support a Tech client. Due to the nature of the role, this requires the person to be fully onsite at our client's office in the CBD area.

Responsibilities include managing reception desk and provide events & logistical support.

Event Coordination

  • Gather requests from internal systems
  • Handle Outlook invitations (both internal and external)
  • Arrange catering services with the registered vendor
  • Arrange interpretation services with the registered vendor
  • Coordinate AV/VC services with the dedicated AV/VC engineer
  • Manage swag inventory and distribution
  • Maintain organized files (Quip and Excel)

Facility Management

  • Prepare and print meeting materials (name tents, agendas, surveys, and other print-outs)
  • Coordinate cleaning services with the dedicated custodial staff

Guest Services

  • Provide professional guest reception
  • Manage luggage storage
  • Guide visitors throughout the center
  • Direct guests to mother's room and prayer room on the 5th floor
  • Distribute parking passes and Grab coupons
  • Provide directions in the vicinity

Requirements:

  • Prior relevant experience advantageous
  • Strong organizational and multitasking abilities
  • Excellent interpersonal and communication skills
  • Experience in event coordination
  • Proficiency in standard office software
  • Customer service-oriented
  • Ability to work independently and as part of a team
  • Ability to work extended hours on days with events
