About the Role
We are looking for an Operations & Admin Executive to manage order fulfillment, stock control, logistics coordination, and purchasing operations. This role is critical in ensuring efficient stock management, accurate forecasting, and smooth day-to-day operations. The selected candidate will report directly to the Director and work closely with suppliers, logistics partners, and internal teams to maintain seamless operations.
Key ResponsibilitiesOrder Fulfillment & Inventory Management
Process and fulfill orders from various sales channels.
Arrange and update stock records in the system.
Conduct monthly stock-taking to ensure inventory accuracy.
Monitor stock levels and coordinate with teams to control projections.
Support customer order replacements and recovery requests.
Purchasing & Logistics Coordination
Coordinate stock purchases and liaise with suppliers to ensure timely replenishment.
Work with logistics providers to arrange deliveries and optimize shipping schedules.
Monitor and track incoming shipments, ensuring smooth inbound stock flow.
Maintain relationships with suppliers and logistics providers for cost-effective solutions.
Documentation & Administration
Issue delivery orders (DOs) and invoices.
Ensure complete documentation for data traceability and compliance.
Maintain organized records for operational and financial efficiency.
Support basic account reconciliation to ensure stock movements match financial records.
Operations & Team Supervision
Supervise and coordinate the packing team.
Ensure the safety and cleanliness of the packing area.
Handle any ad-hoc operational tasks as assigned.
Requirements
Education: Minimum GCE ‘O’ Level / Diploma or equivalent.
Experience: At least 1 year in operations, logistics, or inventory management preferred.
Skills:
- Proficient in Microsoft Office (Excel, PowerPoint, Word).
- Strong organizational and time management skills.
- Attention to detail and ability to multitask.
- Proactive, independent, and a great team player.
- Knowledge of basic purchasing and logistics coordination is a plus.
