POSITION SUMMARY:

As part of the Regional Human Resource Team, the Senior Human Resource Executive is responsible for day-to-day HR operations for the Regional Office. This role will be responsible for personnel administration, new hire and exit management, mobility management, HR reporting, training administration, compensation and benefits administration, as well as payroll administration tasks.

KEY RESPONSIBILITIES:

New Hire Management

  • Ensure a smooth onboarding process for all new hires, including enrolment to medical plans, notification to relevant departments
  • Ensure timely and accurate updates of all new hires’ information into HRMS

Exit Management

  • Ensure timely and accurate updates of all leavers’ information into HRMS
  • Manage the exit process e.g. preparation of acceptance of resignation letters, ensure completion of exit clearance, follow up with leavers on exit process
  • Assist in responding to verification of employment requests for ex-staff
  • Conduct exit interviews for non-managerial leavers

Mobility Management

  • Handle all applications, issuances, renewals, cancellation of Work Pass and all other Work Pass related matters
  • Secondees / Hires from Abroad Management, which include but not limited to temporary accommodation booking, shipment management, liaising with property agents for property search and lease related matters e.g. preparation of documents to secure the permanent residence for secondees
  • Track benefits entitlement and utilization of Secondees / Hires from Abroad

Compensation & Benefits Administration, Payroll Support

  • Manage all government related claims, such as claims for Childcare Leave, Maternity Leave, Paternity Leave, Shared Parental Leave, National Service, Absentee Payroll Funding etc.
  • Administration for medical/insurance, flexible benefits and long service awards related matters, including annual enrolment and updates, ad-hoc enrolment and termination, ensuring accuracy of entitlements, addressing employees’ queries etc.
  • Administer all matters pertaining to absence plans, including providing guidance to employees on entitlement
  • Handle incoming invoices relating to HR Operations
  • Payroll support including preparation of payroll reports to Finance, email payslips to leavers, download CPF record of payment and save in records

Personnel Administration & Other Human Resource Operations:

  • Issue Certification of Employment letters to employees upon request / need basis
  • Maintain the employees’ p-files folder to ensure that all relevant important documents are scanned and filed properly
  • Maintain Regional Office organization charts
  • Ensure employee records are updated in HRMS
  • Manage all headcount reporting matters (e.g. Form 6, MOM surveys, HR Scorecard)
  • Maintain the HR Intranet to ensure that published materials are updated
  • Participate in Regional HR projects or HR operations process improvement initiatives
  • Support implementation of Regional/Corporate HR initiatives for Regional Office
  • Support Regional Office Town Halls

Training Administrative Support

  • Provides essential administrative support to ensure the smooth and efficient delivery of training programs. This involves coordinating with various stakeholders to organise HR-related meetings, training, lunch & learn sessions: -
  • Schedule training sessions, including booking rooms, arranging equipment, and coordinating catering
  • Manage training registration and attendance records.
  • Communicate with trainers and participants regarding training details and logistics.
  • Maintain accurate training records and databases.
  • Process training invoices, expenses, government subsidies and claims
  • Collate, analyse, and summarise training feedback to identify areas for program improvement

KEY REQUIREMENTS:

  • Degree in any discipline
  • At least 5 years’ experience in human resource operations with mid-sized or multi-national organizations
  • Good knowledge in MS Office applications (Word, Excel, PowerPoint)
  • Executional excellence - accuracy and attention to detail
  • Strong time management skills, able to effectively prioritize tasks and manage competing deadlines to ensure timely completion of all responsibilities
  • Good communication skills
  • Display high level of professionalism to all stakeholders, both internal and external
