In this role, you will be responsible for ensuring the smooth day-to-day operations of our office, from managing facilities and office supplies to supporting administrative tasks and coordinating logistics.The role entails overseeing the day-to-day operations of our office, which includes managing facilities, supplies, administrative tasks, logistics, employee onboarding, office security, executive support, travel coordination, meeting scheduling, communication facilitation, procurement, IT equipment management, and company event organisation.Duties & Responsibilities:
  • Manage office facilities, supplies, and vendor relationships to ensure productivity
  • Assist with employee onboarding and workspace setup
  • Coordinate calendars, meetings, travel arrangements, and expenses
  • Greet visitors and maintain a professional office environment
  • Organise company events and team-building activities
  • Handle incoming calls, mail, and courier services
  • Coordinate internal and external lunch meetings
  • Manage purchase orders, vendor agreements, and payments
  • Coordinate transportation and logistics for events and travel
  • Oversee IT equipment requests, orders, and setups
Skills & Experience:
  • At least 5 years of experience in executive support, office management, and / or event coordination
  • Tertiary qualifications is preferable
  • Highly organised, with a strong attention to detail
  • Ability to work independently and as part of a multi-cultural, multi-national team
  • Ability to develop good working internal and external relationships
  • Ability to work under time pressure
  • Strong communication skills, and ability to speak additional languages advantageous
  • Ability to adapt to change particularly last minute
