- Manages a cross-functional role in a large complex organization.
- Interfaces with senior executive management.
- Manages all components of an event project from planning, budgeting, execution delivery and through to final reconciliation.
- Collaborates with internal website programmers to manage online, registration and client data.
- Works with internal client contact as well as event marketing support teams to manage and oversee the design elements of marketing material associated with programs including event website, save the dates, invitations.
- Manages vendor relationships and drives superior results; timelines must possess negotiation skills.
- Oversees pre-event details including site selection, contract negotiation, cost analysis, group activities, staging, and food and beverage services.
- Manages all logistical details pertaining to event presenters; audio visual requirements, travel, accommodations and on-site logistics, and coordination of materials.
- Provides detailed communication to venues; logistics, event resumes, billing instructions, rooming list, and attendee manifests.
- Develops and reviews all logistical materials to be distributed to participants on-site; welcome letters, departure notices, seating cards, etc.
- Manages and directs program details, including suite, meeting room set-up, audio visual, registration/hospitality, food functions, on-site staff, speaker coordination and transportation.
- Supervises on-site staff in all facets of event execution.
- Have willingness to work across global time zones; Flexibility in work hours when necessary and flexible travel schedule may be required.
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.
- Excellent event and project management skills with at least 8-10 years’ experience in managing large / complex corporate events / conferences.
- Ability to multitask, prioritize and handle complex projects within tight timelines.
- Collaborative ‘team player’ orientation committed to the team’s success and an ability to work across diverse countries and cultures.
- Experience in working with senior management / C-suite level stakeholders.
- Creativity and ability to generate ideas and develop innovative solutions.
- Strong quantitative and analytical skills to interpret data and create high level summaries, rationales and detailed reports.
- Understanding of technical event production including virtual events.
