Overview*We are seeking an individual who possesses strong analytical, organisational, coordination, interpersonal and communication skills to manage Undergraduate (UG) school attachments to the hospital. Beside managing school attachments, the candidate would need to conduct Next Generation Electronic Medical Records training for students. In addition, the candidate has to manage sponsorship and honorarium processes for doctors and maintain the department intranet page. The ideal candidate must be able to work independently and have strong IT skills. They need to be a good team player, has a collaborative mindset, is meticulous and must be able to deliver tasks within tight timelines.Job Responsibilities*You will be responsible for the following:
  • Ensure the efficient and effective operations of undergraduate medical education programs conforming to clinical standards and school requirements.
  • Collaborate with department heads and clinical educators to enhance training methodologies and curricula.
  • Manage and ensure timely update of Medical Affairs Education website in the intranet
  • Assist in the management and processing of sponsorships and honorarium, liaise with external parties and ensure that all sponsorship adheres to the guidelines maintaining corporate integrity.
  • Conduct basic Next Generation Electronic medical records training for students
  • Support any relevant hospital committees formed within the assigned area(s) of responsibilities.
  • Manage departmental administrative duties such as on site support for teachings, minutes taking for meeting, running of courses.
  • Perform any other duties as assigned by Reporting Officer
Requirements*
  • Degree in any discipline
  • 1 to 2 years' work experience in an administrative related role, preferably in an educational institution
  • Possess excellent oral and written communication skills with the ability to confidently engage and consult with senior level internal and external stakeholders
  • Strong organizational ability and high attention to details
  • Self-driven with a high level of autonomy and yet be a team player simultaneously
  • Able to set priorities, multi-task, well organized, meticulous and thorough in monitoring projects and providing administrative support
  • To be proactive and demonstrate creative, innovative to problem solving
  • Willingness to adopt flexible work hours if needed
  • Proficient in computer skills and MS applications e.g. Microsoft Word / Excel / Powerpoint
