Our client is seeking a highly organized and detail-oriented Legal Secretary to join their reputable law firm. The successful candidate will provide comprehensive administrative and clerical support to their legal team, ensuring smooth and efficient operations.

This role requires excellent communication skills, the ability to manage multiple tasks, and a strong understanding of legal procedures and documentation.

Responsibilities

  • Provide high-level secretarial and administrative support to partners and fee earners.
  • Assist with conflict searches, audit requests, and client reporting.
  • Coordinate meetings, including room bookings, agendas, and materials.
  • Organize client events, travel arrangements, and visa applications.
  • Maintain and update client records in CRM tools (SNAP, Outlook, Interaction).
  • Manage finance tasks, including matter opening/closing, billing, expenses, and financial reporting.
  • Utilize document management systems (Cloud iManage) and draft legal documents.
  • Handle calls, queries, and messages professionally.
  • Support ad-hoc projects, including document bundling and event coordination.
  • Proactively anticipate and resolve administrative challenges.

Skills and Qualifications

  • Minimum 2+ years as a legal secretary or in a similar professional services role.
  • Proficient in Office 365 ProPlus, document management tools, billing systems (SNAP/SAP), and collaboration platforms (MS Teams, Zoom, Skype for Business).
  • Excellent written and spoken English.
  • Strong diary management, ability to prioritize multiple tasks, and maintain accurate records.
  • Detailed understanding of billing processes.
  • Applies sound judgment in decision-making.
  • Proactive, detail-oriented, and able to handle confidential information discreetly.
  • Builds strong professional relationships and works effectively both independently and in a team.
