We are looking for an experienced Global Office Administrative Lead to join the Linnovate Partners team and this individual will be responsible for managing all administrative managers in SG, MY, PH, US, HK and CN offices, and may be involved in other offices with the company's expansion. This role may be required to manage office administration for other markets along with the Company’s growth and expansion.

Responsibilities

Global Office Administration Leadership

  • Design, implement and administer administrative processes and policies such as the Global Business Travel Expense Guideline and other corporate policies.
  • Standardize and optimize administrative operations across multiple locations
  • Point of contact for all office managers under your team in different countries and provide support.

Operations

  • Oversee and manage daily office administration tasks, ensuring that all offices operate smoothly
  • Lead the administrative support for global corporate/office events, office procurement and other ad hoc projects
  • Plan and execute office layouts, equipment procurement including organizing and coordinating with vendors on office renovations and maintenance as and when required
  • Identify improvement opportunities as and when and feedback to the management
  • Able to handle any ad-hoc request as assigned

Budgeting and Reporting

  • Handle expense/invoice processing in a timely manner for administration department globally
  • Develop and manage global office administration budget
  • Monitor and report on key expenses with relevance to staff satisfaction

Team Management

  • Able to lead and manage each Office Managers/Office Assistants in all the different countries and promote collaboration.

Requirements

  • Bachelor’s in Business Administration or any other related field
  • Minimum of 10 years of working experience, at least 3 years in a leadership role.
  • Prior experience of handling senior management is required
  • Financial services or professional services background is a plus
  • Strong time management skills with the ability of good judgement
  • Appreciates and enjoys the challenge of muti-tasking in a fast and dynamic environment
  • Strong attention to detail, organized
  • Work maturely, independently and good communication skills
  • Detail oriented, pro-active with a strong sense of responsibility and urgency for achieving results
  • Good team player with a helpful and cheerful personality
  • Good communication skills in written and spoken English
  • Good computer knowledge including MS Office applications
  • Ability to travel internationally as required
