Job Title: Administrative Executive (Part-Time/Full-Time)

We are seeking a highly organized and proactive Administrative Executive to join our team. This role will provide comprehensive administrative, HR, and finance support, ensuring smooth daily operations and efficient project management. The ideal candidate will be a self-starter with excellent communication skills and a strong ability to multitask in a dynamic environment.
Responsibilities:
General Administration:
Provide comprehensive administrative and secretarial support to the Director and Project Manager.
Manage and maintain daily office operations, including office establishment and maintenance.
Develop and maintain company databases using Google Sheets and Wrike for project and task management.
Prepare professional communications, including memos, emails, invoices, reports, and other correspondence.
Establish and maintain efficient electronic filing systems.
Manage incoming calls and greet visitors professionally.
Perform ad-hoc administrative tasks as assigned by management.
HR Administration:
Manage confidential candidate information, including contracts and resumes, during the recruitment process.
Coordinate employee onboarding and offboarding procedures.
Administer staff access passes, equipment, and other related resources.
Assist in the implementation and maintenance of HR and administrative policies and procedures.
Finance Administration:
Assist with bank reconciliations and accrual lists.
Administer and reconcile invoices related to procurement and monthly expenses.
Requirements:
Minimum “O” Level qualifications or equivalent.
Proven ability to multitask and prioritize tasks effectively.
Proficiency in Microsoft Office Suite, Google Workspace, and Apple macOS.
Ability to work independently and collaboratively within a team.
Excellent communication and interpersonal skills.
A positive attitude and strong work ethic.
