Job Description
Manage the Director’s calendar, meetings, and travel arrangements.
Coordinate and schedule team meetings and town hall meetings.
Arrange VIP visits and other key events.
Raise and track purchase orders (POs) for outsourced services.
Manage monthly PO accruals and related financial processes.
Ensure office supplies, first aid kits, and other essential items are available and maintained.
Handle live event emails and gift management (e.g., new born, awards, demise).
Organize food catering and other employee welfare activities.
Support team-building initiatives and learning & development programs.
Act as a liaison with facility management (CREWs) and IT support for daily operational needs.
Oversee SharePoint access rights and maintain an updated organizational chart.
Maintain communal areas and ensure conference rooms are well-equipped.
Oversee fire drill logistics and scrap activities.
Manage onboarding for new hires, including equipment requests and system access setup.
Manage exit processes, ensuring proper collection of company assets (e.g., ID cards, laptops, access keys).
Maintain seats occupancy records and PDL list.
Serve as the Assets Audit Coordinator and ISO14000 Coordinator.
Arrange air conditioning activation for weekends and shutdown periods.
Coordinate interview arrangements and training sessions.
Assist in IT equipment and stationery orders via P360.
Job Requirements
Diploma in Business Administration or related field.
At least 2 years of administrative experience in a corporate setting.
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and SharePoint.
Excellent communication and interpersonal skills.
Ability to work independently with minimal supervision.
Experience with procurement and finance-related administrative tasks is a plus.
