The NUS Law Faculty Events & Networks Team leads the organisation of faculty events for both internal and external stakeholders, as well as manage the secretariat for law associations.
We are seeking a highly motivated, resourceful and meticulous Senior Executive/ Assistant Manager to deliver events and lead/support the secretariat for the law associations, in the following key portfolios:
- Lead/co-lead Faculty Events, working closely with the Head of Faculty Events & Networks
- Lead and manage the Secretariat for the Asian Society of International Law (AsianSIL), working closely with the Secretary-General and the Head of Faculty Events & Networks
- Support the Secretariat for the Asian Law Institute (ASLI)
- Support the Secretariat for the Asian Law Schools Association (ALSA)
The areas of responsibility will include the following:
1) Secretariat for the Asian Society of International Law (AsianSIL)
The Asian Society of International Law is incorporated as a private limited company in Singapore, and its secretariat is hosted by the Faculty of Law, NUS. The incumbent will head and manage all secretariat duties, including
- Manage the entire cycle of AsianSIL membership including applications, renewal, payment and membership database
- Lead the full aspect of AsianSIL Conference and other AsianSIL events including Call for Papers, Publicity, Collation, Registration, Logistics and Event Management, Finance and Administration and related activities
- Manage and drive all website-related matters
- Maintain AsianSIL management accounts including Fees, Donations and all expenses and handover to Company Secretary for annual audit exercise
- Manage full aspect of Asian Journal of International Law (AsianJIL) which is part of AsianSIL and two issues are published a year
- Secretariat to AsianSIL Executive Council & Advisory Council and AsianJIL Editorial Board and manage all meetings including preparation of agenda, minutes and any other secretariat duties/projects
- Any other related duties assigned by the reporting manager
2) Secretariat for the Asian Law Institute (ASLI)
- Manage the entire cycle of ASLI membership including applications, renewal, payment and membership database
- Support the preparation/logistics for the ASLI Annual Conference and other ASLI events
- Any other related duties assigned by the reporting manager
3) Secretariat for the Asian Law Schools Association (ALSA)
- Manage the entire cycle of ALSA membership including applications, renewal, payment and membership database
- Any other related duties assigned by the reporting manager
4) Faculty Events
- Lead/Co-Lead the full aspect of faculty events, such as participant management, speaker and VIP management including invitation, registration and preparation of administrative briefs/programme/event rundown; logistics management, manage service providers (caterers, landscaping vendors, etc)
- Provide onsite support during event execution, coordinating event support needs
- Post-event administrative, feedback and finance processes, and maintain database record
- Collaborate with the Alumni Relations & Development team, and Communications team in the planning/execution and publicity of events
- Any other related duties assigned by the reporting manager
- Degree holder with minimum 2-3 years of relevant experience preferably within a tertiary educational institution and with familiarity in event management and/or secretariat duties in a similar capacity
- Possess administrative and personnel management experience with well-developed planning and organisational skills
- Possess excellent interpersonal and communication (written and verbal) skills, able to work with stakeholders of various levels.
- A team player who is pro-active, has a positive attitude and able to work independently and as a team
- Enjoys working in a dynamic environment, with effective multitasking skills.
- Able to travel occasionally to support law associations’ meetings and events
- Proficient in Microsoft Office applications.
