We are looking for experienced, organized, and dynamic Admin Executive/ Project Secretary preferable with experience in Architectural firm in Singapore.
Roles & Responsibilities:
Perform general secretarial/ receptionist duties i.e. screening phone calls, filtering junk emails and manage main emails, preparing letters/ certification/ meeting minutes, scheduling appointments and meetings, travel arrangement, authority survey forms, Gebiz MDT tenders/fee proposal, etcs.Assist in preparation and management of project administration documents/ presentation slides, etcs.
3. Maintain proper filing system and ensure effective document control for easy access and retrieval.
Assist all matters related to ISO.
Manage authorities’ circulars.
Manage all leave application/ record.
Handle all matters related to yearly renewal of office’s PI, BCA PSPC, BOA license for supplying Architectural Services, QP BOA Practicing Certificate & professional body membership, etcs.
Monitor and maintain records of hired purchase/ leases of all office equipment/ devices.
Monitor and maintain records of IT/ software programme licensing matters.
Arrangement for housekeeping/ maintenance of the office premise.
Undertake special assignment, ad-hoc function and other related duties when required.
Requirement:
Minimum 3 or more years of relevant experience, ideally with an architecture firm.
Solution oriented, proactive and possess excellent communication and interpersonal skills.
Fluent in written and spoken English.
Computer skill – MS Office
Able to work independently and in a team.
