Job Summary
The Admin Assistant is responsible for managing administrative operations, including work pass applications, payroll processing, and IRAS compliance. This role ensures that all HR and finance-related administrative tasks are handled efficiently while complying with government regulations and company policies.
Key Responsibilities:
- Able to handle Work Permit, S Pass, and Employment Pass (EP) applications, renewals, and cancellations via the Ministry of Manpower (MOM) portal.
- Ensure compliance with MOM regulations and track work pass validity.
- Assist foreign employees with medical check-ups, insurance, and pass collection.
- Maintain proper records of employees’ work pass statuses and update management accordingly.
- You need to process monthly payroll for employees, ensuring accuracy and compliance with company policies.
- Able to handle CPF contributions, SDL, and other statutory deductions.
- Generate and issue payslips to employees.
- Manage payroll software and ensure timely salary disbursement.
- Prepare and submit IRAS for annual employee income tax reporting.
- Handle employee tax clearance (Form IR21) for departing foreign employees.
- Stay updated with the latest tax and CPF regulations to ensure compliance.
- Maintain employee records and ensure proper documentation.
- Assist in recruitment processes, onboarding, and employee exit procedures.
- Coordinate office administration tasks, such as purchasing supplies and managing office facilities.
- Support HR initiatives, including performance appraisals and staff benefits administration.
Job Requirements:
- Diploma or Degree in Business Administration, HR, Accounting, or a related field.
- At least 1-2 years of relevant experience in work pass applications, payroll processing, and IRAS compliance.
- knowledge of MOM regulations and work pass application processes.
- Familiarity with IRAS tax reporting requirements.
- Proficiency in Microsoft Excel for payroll calculations and reports.
- Excellent organizational and multitasking skills.
- Ability to handle confidential employee information professionally.
