Responsibilities:

  • Professional Practices:
    • Deliver exceptional customer service by addressing inquiries in a timely, professional, and client-centric manner.
    • Handle sensitive, personal, and confidential information with utmost discretion, ensuring adherence to professional standards and organisational policies.
    • Conduct regular account reviews for organisation and sector systems, to reduce the risk of breaches by preventing unauthorised access to critical data and systems.
    • Ensure staff’s knowledge and compliance to Standard Operating Procedures (SOPs), data protection policies, workplace safety and health policies, and other organisational policies.
    • Administer and support change management initiatives to help employees adapt to organisational, divisional, and department changes smoothly and effectively.
  • Data Management and Data Governance:
    • Collect, update, store, and maintain essential data in organisational and sector systems, ensuring the accuracy, completeness, and integrity of the data.
    • Support internal and external audits to assess compliance with established organisational and regulatory requirements.
    • Consolidate and deliver comprehensive reports for internal and external stakeholders, ensuring regulatory compliance.
  • Programme and Events Support:
    • Provide administrative and logistical support, including minutes taking, food purchasing, venue setup, and any other tasks assigned, to ensure the smooth running of centre-based events and programmes.
  • Administrative Support:
    • Oversee and provide administrative and operational support, including scheduling, minutes taking, facilities management, office supplies management, vendor coordination, and funds control, to ensure smooth centre operations.
    • Coordinate internal communications to ensure smooth collaboration across teams, and alignment with organisation and sector goals.
  • Other Ad-Hoc Duties:
    • Support management and staff with administrative task as needed.

Requirements:

  • Possess a Bachelor’s Degree.
  • Preferably with 2-3 years of experience in an administrative role, preferably within the social service sector.
  • Strong communication and interpersonal skills, with the ability to engage effectively with internal and external stakeholders.
  • Proactive and self-motivated with the ability to work independently and as part of a team.
  • Organised and meticulous in generating and ensuring accuracy of reports.
  • Service-oriented
  • Tech savvy with advanced skills in Microsoft Office tools (e.g. Excel, Word, PowerPoint)
