Responsibilities:
- Professional Practices:
- Deliver exceptional customer service by addressing inquiries in a timely, professional, and client-centric manner.
- Handle sensitive, personal, and confidential information with utmost discretion, ensuring adherence to professional standards and organisational policies.
- Conduct regular account reviews for organisation and sector systems, to reduce the risk of breaches by preventing unauthorised access to critical data and systems.
- Ensure staff’s knowledge and compliance to Standard Operating Procedures (SOPs), data protection policies, workplace safety and health policies, and other organisational policies.
- Administer and support change management initiatives to help employees adapt to organisational, divisional, and department changes smoothly and effectively.
- Data Management and Data Governance:
- Collect, update, store, and maintain essential data in organisational and sector systems, ensuring the accuracy, completeness, and integrity of the data.
- Support internal and external audits to assess compliance with established organisational and regulatory requirements.
- Consolidate and deliver comprehensive reports for internal and external stakeholders, ensuring regulatory compliance.
- Programme and Events Support:
- Provide administrative and logistical support, including minutes taking, food purchasing, venue setup, and any other tasks assigned, to ensure the smooth running of centre-based events and programmes.
- Administrative Support:
- Oversee and provide administrative and operational support, including scheduling, minutes taking, facilities management, office supplies management, vendor coordination, and funds control, to ensure smooth centre operations.
- Coordinate internal communications to ensure smooth collaboration across teams, and alignment with organisation and sector goals.
- Other Ad-Hoc Duties:
- Support management and staff with administrative task as needed.
Requirements:
- Possess a Bachelor’s Degree.
- Preferably with 2-3 years of experience in an administrative role, preferably within the social service sector.
- Strong communication and interpersonal skills, with the ability to engage effectively with internal and external stakeholders.
- Proactive and self-motivated with the ability to work independently and as part of a team.
- Organised and meticulous in generating and ensuring accuracy of reports.
- Service-oriented
- Tech savvy with advanced skills in Microsoft Office tools (e.g. Excel, Word, PowerPoint)
