Responsibilities:

  • Provide comprehensive administrative support to the Head of Operations, ensuring smooth daily operations.
  • Handle and respond to customer inquiries professionally.
  • Prepare quotations, invoices, and essential documentation with accuracy.
  • Plan, coordinate, and monitor international shipments, deliveries, and collections to ensure timely execution.
  • Organize and maintain company records, ensuring proper filing and document control.
  • Collaborate with vendors to schedule and oversee periodic equipment maintenance.
  • Manage general office administration matters, including procurement of supplies and upkeep of office facilities.
  • Assist in clerical writing and editing of existing Standard Operating Procedures (SOPs) under the guidance of General Manager.
  • Conduct research on warehouse and supply chain trends, including developments in cigars, wines, and whisky industries to support business strategies.
  • Stay updated and compile information on the Singapore Government and International regulations that may impact business operations.

Requirements:

  • Diploma or Higher NITEC in Business Administration or a related field.
  • Minimum 1 year of administrative experience, preferably in the supply chain, logistics, or related industries.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with WMS or inventory management systems is an advantage.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Excellent written and verbal communication skills in English and Mandarin (to liaise with Mandarin-speaking clients and stakeholders).
  • Ability to multitask, prioritize, and work independently in a fast-paced environment.
  • A proactive and resourceful team player with strong problem-solving skills.
