Ariba Procurement Manager
Job Description
Accountable for the followings, by working with the larger supporting ecosystem such as the Procurement Ariba Taskforce & Ariba Champions, Procurement Supplier/Catalog Enablement Managers / Static Data Administrators, ERP IT, Corporate IT, Vendors (IBM & SAP), Ariba System etc. By leveraging the above mentioned, with or without direct supervisory responsibilities over the staff under this ecosystem - to act as Project Manager and ensure timely and appropriate escalations / call for supports to Procurement Core team / Deputy Director of Ariba Taskforce, Director of Procurement Operations and/ or CPO, as and when necessary.
Project Management
- Besides the various project management tracking already performed by System Integrator (i.e., IBM) and /or Principle Vendor (i.e., SAP), when necessary, to drive outcomes, project manage and ensure regular progress updates to Procurement stakeholders (i.e., Procurement Core team and/or the wider Procurement department)
Business as Usual / Keep the Lights On (KTLO) Management
- Ensure regular KTLO / service management review are conducted, with participation from all teams across the KTLO ecosystem (i.e., ERP IT, ALPS CIO Office, CTC L1 helpdesk, Service Ops, IBM, Procurement Ariba Taskforce etc).
- Bring to management attention on incidents that fail to meet pre-defined Service Level Agreement. Review and challenge repeated incidents - and to drive the above-mentioned teams to proactive improve KTLO services by advocating the need to continually drive service management excellence.
- Ensure regular and timely engagement with Ariba Business and Procurement Champions - keep this group of users (advanced) up to date with the latest changes to Ariba.
- Collate, design and publish regular updates to the wider Procurement department, keeping the group aware of all ongoing incidents / system bugs that impact their daily operations on Ariba, latest changes to process and system enhancements etc.
System Enhancement
- Design, implement and manage eProcurement system enhancement feedback channels (such as input from KTLO Incident tickets & enhancement feedback from users).
- Collate, track and periodically review feedbacks with larger Procurement Ariba Taskforce. Propose enhancements for potential Change Control Request submission to System Owner.
Process Ownership
- Work with relevant Ariba Taskforce member(s) to continuously identify and streamline processes, shorten purchase operations lifecycle (without sacrificing governance).
- Ensure that responsible Procurement Ariba Taskforce member(s) update Ariba process workflows and user guides.
- Maintain and if necessary, update Ariba user onboarding and offboarding process, working with the relevant teams (eg. Corporate IT, HCM, CTC Ariba Access Management team)
Knowledge Management
- Be the overall owner of all Ariba related knowledge / contents of various forms (documents, flowcharts, meeting records / videos etc) residing on shared repositories - Procurement SharePoint & internal TEAMS site, Procurement Intranet etc, by ensuring the respective documents owners review / update their files periodically, if applicable.
- Advocate of document version control - and if necessary, identify and implement folder / file level restrictions.
Systems Static Data Management
- Work with Ariba Taskforce and Ariba Supplier/Catalog Enablement Mangers / Static Data Administrators to design and maintain the process necessary for static data to be maintained / updated across Ariba and SAP ECC - for the purpose of (1) enabling Catalogs purchases, (2) maintaining static data for change of catalog items / introduction of new catalog items, and if necessary (3) updating of department HOD changes to ensure accurate approval routing.
Reporting
- Support Procurement Data Taskforce & Business Office in co-designing / providing necessary Ariba custom reports, work with IBM and SAP if necessary for any ad-hoc / non out-of-the-box reporting needs.
Other requirements:
- Support other tasks as assigned by Procurement Leadership as needed.
- Keep abreast of relevant changes that would impact usage / configuration on eProcurement and associated components of SAP ECC system (e.g., companywide changes such as organization changes; Procurement departmental changes such as people; policy, processes updates).
- Stay up to date with the eProcurement system enhancements plan by mean of active engagement with ALPS CIO Office and pre-empt impact (both positive & negative) to users - intervene early and ensure requirement and / or concerns are communicated to CIO Office.
