Job Description

Requirements:

  • The Candidate shall possess at least a Degree in Information Technology (IT), Computer Science or equivalent qualification.
  • The Candidate shall have at least two (2) years of working experience in the IT or Infocomm industry, with exposure to end-to-end software development lifecycle (SDLC). Experience with implementation in Singapore is preferred.
  • The Candidate main role is to assist Project Manager and to complement his/her responsibilities.
  • The Candidate is to be proficient in information gathering and reporting that include:
  • Compile and organise project-related information
  • Schedule and organise meetings with stakeholders and vendor
  • Prepare agendas and take detailed minutes
  • Follow up on action items from meetings
  • Prepare regular status reports for the project manager

The Candidate is to be proficient in document management that includes:

  • Maintain and organise all project-related documents including minutes of meetings provided by vendor.
  • Ensure version control of important files
  • Create and update project documentation as needed

The Candidate is to be proficient in stakeholder communications, timeline and milestones

tracking that includes:

  • Act as a liaison between project manager and internal stakeholders
  • Distribute project updates and communications
  • Manage and respond to routine project-related queries
  • Monitor project timelines and alert project manager of any potential delays
  • Track milestone completions and deliverables
  • Update project management tools with current progress

The Candidate is to be proficient in quality control support and change request management that includes:

  • Assist in coordinating quality assurance activities
  • Help manage the user acceptance testing (UAT) process
  • Collect and organise feedback from UAT sessions
  • Log and track change requests
  • Assist in assessing the impact of proposed changes
  • Help communicate approved changes to relevant parties

The Candidate is to be proficient in vendor coordination and administrative support that

includes:

  • Assist in managing day-to-day interactions with vendors
  • Track vendor deliverables and performance
  • Coordinate vendor meetings and communications
  • Handle project-related administrative tasks
  • Help coordinate training sessions for internal staff
  • Assist in co-creating training materials with vendor.
  • Support the security onboarding of new team members from vendor to the project
  • Support in post implementation
  • Handle project-related administrative tasks

  • The Candidate shall have a good command of English and effective communications skills to interact and coordinate with end-users. This includes gathering user requirements, communicating proposed vendor solution, supporting user acceptance testing, supporting end-user training, and resolving issues with helpdesk agents and external vendors.
  • The Candidate shall demonstrate competency in Microsoft applications including Word, Excel and Outlook.
  • The Candidate is to have competency in Project Management tracking tools such as Confluence, Jira.
  • Upon being shortlisted, the Candidate shall attend an interview. The Candidate must be able to demonstrate his/her proficiency in meeting all the above Skills Requirements in Section 3 during the interview.
