Introduction

The Singapore-ETH Centre is home to a community of doctoral, postdoctoral and professorial researchers working in three main programmes: Future Cities Laboratory, Future Resilient Systems, and Future Health Technologies. The centre provides a multicultural and interdisciplinary environment to researchers working on diverse themes, with the shared vision of translating research to practical solutions for more sustainable and liveable cities, resilient physical and social urban systems, and patient-centric healthcare systems.
Job description
Secretarial Duties
- Provide administrative support (including calendar management) to the Director and Managing Director
- Manage travel and accommodation for guests and visitors
- Provide basic facilities management support (e.g. arrange for employees to attend basic First Aid training, annual inspection of fire extinguishers)
Receptionist Duties
- Be the first point of contact for external visitors and guests; greet, welcome and direct them appropriately
- Attend to visitors and guests
- Respond to general enquiries
- Answer and screen all incoming phone calls and/or take messages as necessary
- Arrange security clearance, parking or taxis for visitors
- Organize internal/ external mailing
- Manage orders of basic office and pantry supplies
- Responsible for the upkeep of the reception area, lounge area, meeting rooms and pantry.
- Assist in organizing events, including sending invitations, responding to enquiries, preparing/booking venues, coordinating catering, arranging transport and collecting RSVPs
Requirements
- Minimum Diploma in Business
- Minimum of 2 years' experience in the related field
- Good knowledge of Microsoft Outlook, Word and PowerPoint
- Interest to deal with people from various backgrounds in an intercultural environment
- Good organizational, planning and coordination skills and possess initiative
- Be versatile and able to grow with changes in the company

Duration: Full-Time position (Contract)
Salary: SGD3500-SGD4200
