- Manage and coordinate day-to-day administrative and logistical requirements within the Library, including tracking progress on projects, planning and organizing meetings, training sessions, and other departmental events/activities.
- Provide secretarial support for meetings, and serve as primary administrative contact between the Library and other departments in SUSS.
- Perform budgetary, financial, and procurement tasks, including sourcing/ renewing, order placement, receipt and invoice processing, fund and vendor management, and the monitoring and reporting of expenditures. Assist in developing and tracking budget for the Library.
- Keep informed of emerging standards and developments in SUSS administration, Finance, IT, and procurement matters in order to develop, maintain, and update departmental policies, procedures, and systems, and ensure quality, operational efficiency, and compliance with the University policies.
- Assist in the implementation of the entire life cycle of the library resources, which includes selection for disposal and replacement. Assist in the promotion of the resources across different platforms and channels. Assist with library services and operations as required. May work some evenings and weekends.
- Participate and/or lead in library-wide initiatives and projects.
- Monitor the training plans and records for all Library staff
- Ensure proper tracking of and oversee the use, management and disposal of the various assets and inventory of the Library.
- Perform other departmental and organizational duties as necessary or assigned.
- Recognised degree.
- Preferably, candidates will have 2-3 years of relevant experience in library acquisitions, serials, procurement, business administration, management, or related fields in an academic environment. However, those with a background in library resource management and procurement and fresh graduates are also welcome to apply.
- Experience working with library management systems (e.g., Alma) and finance systems (e.g., SAP) would be an asset.
- Proficiency with computers, especially Microsoft Office, web-based tools.
- Familiarity with budget planning, human resources, and customer service procedures.
- Excellent organisational, analytical, and problem-solving skills.
- Highly service-oriented with excellent interpersonal, written, and verbal communication skills.
- High degree of accuracy and attention to detail.
- High level of integrity and professionalism in handling confidential information.
- Ability to work independently as well as foster teamwork and collaboration with internal and external parties.
- Ability to plan for and keep track of multiple projects and deadlines.
- Ability to be proactive and respond to changing priorities.
- Willingness to build new and expand existing knowledge and skills.
