Full Time Administrative Assistant

A scientific equipment company in Ubi seeking a highly organized and detail-oriented Administrative Assistant to join our team! This part-time to full-time position will provide critical support to our growing company.
Responsibilities:
- Process timely correspondence (phone calls, emails) in a professional and courteous manner.
- Manage calendars, schedule meetings and appointments, and travel arrangements (if necessary)
- Submit reports and documents using Microsoft Office Suite.
- Responsible for logistics arrangements with suppliers and customers and packing of goods with proper documentation
- Maintain accurate filing systems (physical and digital).
- Assist with quotations, invoicing and suppliers orders using accounting software.
- Assist with handling government licensing matters
- Manage and prioritise multiple tasks independently with minimal supervision.
Requirements:
- Bilingual in English (mandatory) and Chinese (Mandarin or Cantonese a plus).
- Minimum 5 years of experience in an administrative role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Working knowledge of QuickBooks a strong asset.
- Excellent communication, interpersonal, and organisational skills.
- Ability to prioritise tasks, manage deadlines, and work independently with minimal supervision.
- Positive attitude, professional demeanour, and a willingness to learn.
- Willing to work in Ubi/Tai Seng/Paya Lebar area
- Available to start immediately.
