Our client is is looking for a motivated Senior Executive to support the tax department. The ideal candidate will have a keen eye for detail, excellent organizational skills, and the ability to work effectively in a fast-paced environment.

Responsibilities

Collections

  • Oversee and manage the monthly collections process to ensure timely payments.
  • Respond to client inquiries related to collections and follow up consistently.
  • Send regular reminders and track overdue accounts every two weeks until payment is resolved.
  • Maintain and review the Accounts Receivable (AR) list weekly, coordinating with the credit control team for Statement of Accounts (SOA) issuance and payment follow-ups.

Billing Management

  • Generate invoices using the company portal and ensure monthly revenue targets are met.
  • Analyze managers billing data using pivot tables, track their allocated portfolio performance, and highlight unfulfilled revenue targets.
  • Monitor and manage fee recovery for engagements, unbilled work in progress (WIP), and recovery rates, ensuring timely billing for completed work.
  • Identify engagements with low fee recoveries and advise managers on strategies to improve.
  • Collaborate with the finance team as required to align billing and recovery efforts.

Reporting

  • Prepare weekly reports to track revenue targets and performance.
  • Maintain an updated list of new and lost clients weekly.
  • Generate monthly management reports summarizing total portfolio revenue for forecasting purposes.
  • Provide additional reports requested by management to support decision-making.

Budget Management

  • Track and update revenue for all tax deliverables, including compliance, GST, personal tax, advisory, and due diligence services.
  • Collaborate with partners to update quarterly budgets and revenue forecasts.

Opportunity Pipelines

  • Maintain and update the status of business opportunities, tracking wins and losses in the internal system.

Timesheet Oversight

  • Analyze staff timesheets using pivot tables to monitor chargeability and utilization rates.
  • Engage with staff to address shortfalls in utilization and ensure compliance with minimum requirements.

Work Planning

  • Develop work plans and compare them against timesheets to ensure accurate resource allocation and identify gaps.
  • Coordinate with managers to address resource needs or adjust work assignments as necessary.

Client Progress Monitoring

  • Track and report on the progress of client deliverables, ensuring timely completion of financial accounts, fee quotes, and billing.
  • Update client databases, including Notices of Assessment (NOA) and other correspondence from tax authorities.
  • Maintain records of ceased or waived clients as needed.
  • Manage the allocation of manager portfolios and assist in staff portfolio budget calculations.

General Administrative Duties

  • Strong organizational and analytical skills with proficiency in pivot tables and data tracking.
  • Excellent communication skills for client and internal team collaboration.
  • Experience with tax deliverables, billing, and financial reporting systems.
  • Ability to manage multiple responsibilities and meet deadlines in a dynamic environment.
