The ideal candidate will have a strong background in administrative support, with a focus on managing legal documentation, drafting correspondence, and coordinating complex travel itineraries. This role requires exceptional discretion, professionalism, and the ability to handle multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Documentation & Correspondence:
  • Prepare, proofread, and manage legal documents, contracts, and confidential correspondence.
  • Maintain and organize electronic and physical filing systems for legal records.
  • Assist in drafting client communications, memorandums, and reports.
  • Travel & Scheduling Management:
  • Coordinate complex travel arrangements, including flights, accommodations, transportation, and meeting schedules.
  • Prepare detailed travel itineraries and ensure all necessary documents (visas, tickets, hotel confirmations) are in place.
  • Manage expense reports and reimbursements related to travel.
  • Administrative & Executive Support:
  • Manage and prioritize the executive's calendar, scheduling meetings, court appearances, and client consultations.
  • Handle incoming calls, emails, and correspondence with professionalism.
  • Coordinate with internal teams and external stakeholders as required.
  • Conduct research and compile reports as needed.

Qualifications & Skills

  • Prior experience as an Executive Assistant, preferably in a legal or corporate environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal document management systems.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong problem-solving skills and ability to work independently.
  • Experience managing complex travel itineraries and scheduling.
