Executive Assistant (2 months Contract)
Job Description
Our client is seeking a highly organized and detail-oriented Executive Assistant to support senior leadership in a prestigious U.S. legal firm. The ideal candidate will have a strong background in administrative support, with a focus on managing legal documentation, drafting correspondence, and coordinating complex travel itineraries. This role requires exceptional discretion, professionalism, and the ability to handle multiple priorities in a fast-paced environment.
Key Responsibilities:
- Documentation & Correspondence:
- Prepare, proofread, and manage legal documents, contracts, and confidential correspondence.
- Maintain and organize electronic and physical filing systems for legal records.
- Assist in drafting client communications, memorandums, and reports.
- Travel & Scheduling Management:
- Coordinate complex travel arrangements, including flights, accommodations, transportation, and meeting schedules.
- Prepare detailed travel itineraries and ensure all necessary documents (visas, tickets, hotel confirmations) are in place.
- Manage expense reports and reimbursements related to travel.
- Administrative & Executive Support:
- Manage and prioritize the executive's calendar, scheduling meetings, court appearances, and client consultations.
- Handle incoming calls, emails, and correspondence with professionalism.
- Coordinate with internal teams and external stakeholders as required.
- Conduct research and compile reports as needed.
Qualifications & Skills
- Prior experience as an Executive Assistant, preferably in a legal or corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal document management systems.
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and ability to work independently.
- Experience managing complex travel itineraries and scheduling.
