Duties & Resposibilities:
You shall faithfully and diligently serve the company and carry out the duties and responsibilities of your position and other duties as directed by the Director and / or any of his / her authorized officers.
Some key responsibilities of this role:
1. Administrative Support:
• Manage and maintain the Director's schedules, including meetings, appointments, and travel arrangements.
• Prepare and distribute meeting agendas, take minutes, and follow up on action points.
• Handle phone calls, emails, and correspondence on behalf of the Director.
2. Client Relationship Management:
• Liaise with clients to schedule meetings, answer queries, and provide support as needed.
• Maintain accurate client records and ensure all documentation is up to date and filed appropriately.
• Assist with client's documentation submissions.
3. Document Preparation:
• Draft, proofread, and format reports, presentations, and other documents for internal and external use.
• Ensure all documents related to insurance policies, claims, and financial transactions are accurately prepared and submitted.
4. Insurance Policy Management:
• Follow up on new case submissions to ensure all follow-up documents are submitted
• Monitor and update policy renewals
• Assist in compiling necessary documentation for underwriting, claims processing, and compliance purposes.
• Work with company follow-up on claims and new submissions, and ensure all processes are completed efficiently.
5. Data Management:
• Maintain and update clients' databases related to insurance policies, and financial information.
• Ensure data accuracy and confidentiality in compliance with regulatory standards and company policies.
6. Event Planning:
• Coordinate agency events and meetings including client meetings, training sessions, and seminars.
• Prepare materials for events and assist in post-event follow-up.
7. Office Management:
• Monitor office supplies, place orders, and ensure proper inventory management.
• Coordinate with external vendors for office maintenance, supplies, and services.
Qualifications & Requirements:
Nitec/Diploma in any disciple.
A good team player who can work independently and diligently.
Trustworthy and able to maintain a high level of professionalism and confidentiality.
Highly self-motivated, proactive, resourceful, and has a can-do attitude.
Well-organized with strong attention to detail and time management skills.
Able to work well in a fast-paced environment with little supervision.
Proficient in data entry and record management, with strong attention to detail
Proficient in Canva and CapCut to create content for manager's social media.
Tech-savvy, must be proficient with Microsoft Office.
Experience in Insurance operations or related field is an added advantage.
