Roles & Responsibilities

Key Responsibilities

Administrative Support:

  • Assist in the planning and coordination of academic programs, including scheduling classes and managing course offerings.

  • Prepare and maintain academic records, including student grades and, transcripts.

  • Serve as the primary point of contact forstudents, faculty, and staff regarding academic-related inquiries.

Student Services:

  • Support student enrollment processes, including registration, advising, and graduation procedures.

  • Address and resolve student issues and concerns related to academic policies and procedures.

  • Organize and facilitate orientation programs and academic workshops.

Faculty Support:

  • Assist faculty with administrative tasks such as organizing meetings, managing teaching schedules, and handling correspondence.

  • Coordinate faculty recruitment processes, including job postings, interview scheduling, and onboarding.

  • Manage faculty records, including tenure and promotion documentation.

Compliance and Reporting:

  • Ensure compliance with QA regulations related to academic programs and student records.

  • Prepare and submit reports on academic performance, program effectiveness, and other relevant metrics.

  • Maintain accurate and confidential records in accordance with privacy regulations.

Event Planning:

  • Organize and support academic events such as seminars, conferences, and graduation ceremonies.

  • Coordinate logistics, including venue arrangements, catering, and materials preparation.

Communication and Collaboration:

  • Foster effective communication between academic departments, students, and external stakeholders.

  • Collaborate with other administrative units to streamline processes and improve overall efficiency.

Office Management:

  • Oversee the daily operations of the academic office, including managing office supplies and equipment.

  • Develop and implement office procedures to improve workflow and productivity.

Qualifications

  • Bachelor’s degree in Business Administration, Education, or a related field.

  • Proven experience in administrative roles, preferably within an academic or educational setting.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent communication and interpersonal skills.

  • Proficiency in office software and academic management systems (e.g., student information systems).

  • Ability to handle confidential information with discretion.
