Key Responsibilities:
- Administrative Support – Provide day-to-day administrative assistance, including managing correspondence, scheduling meetings, and handling phone calls
- Document Management – Prepare, review, and organize financial reports, contracts, and confidential documents while ensuring compliance with company policies and industry regulations
- Data Entry & Record-Keeping – Maintain accurate client records, financial transactions, and internal databases to support operational efficiency
- Client Coordination – Assist with client inquiries, appointment scheduling, and follow-ups to ensure high-quality customer service
- Regulatory Compliance Support – Ensure documentation and processes align with financial regulations, company policies, and data security protocols
- Expense & Invoice Management – Process invoices, track office expenses, and assist in financial record-keeping
- Meeting & Event Coordination – Schedule and organize meetings, prepare materials, take minutes, and coordinate events or training sessions
- Office Management – Oversee office supplies, vendor relationships, and facility maintenance to ensure smooth operations
- Support for Financial Teams – Assist investment advisors, analysts, or finance professionals by gathering research, preparing reports, and managing correspondence
- Confidentiality & Discretion – Handle sensitive financial and client information with the highest level of confidentiality and professionalism
Requirements:
- Minimum Diploma and above
- Strong written and verbal communication skills with the ability to manage multiple tasks efficiently
- High level of accuracy in data entry and document handling, with the ability to maintain confidentiality in financial matters
