Position Overview:
We’re seeking a proactive and adaptable Admin Executive to join our dynamic team and take charge of key administrative functions while managing simple invoicing tasks. In this versatile role, you’ll be an essential part of our small, motivated team, helping ensure smooth warehouse operations. Location: Tuas South
Work Hours: Monday to Friday 8:00 AM to 5:00 PM, Saturday 8:00 AM to 12:00 PM
Key Responsibilities:
Office Administration:
- Manage basic accounts payable and receivable tasks, ensuring accurate invoice recording and easy access for audits.
- Create and process invoices for customers, and review supplier quotations as needed.
- Maintain service report records for equipment maintenance.
- Proactively follow up on outstanding payments, resolving any billing issues by working closely with internal teams, customers, and suppliers.
Warehouse Administration:
- Oversee daily warehouse operations, including updating inventory, shipments, and receipts in the warehouse management system (WMS).
- Collaborate with internal teams and clients to manage orders, delivery schedules, and requirements.
- Ensure inventory accuracy by monitoring levels and reconciling discrepancies.
- Organize regular cycle counts and assist in annual inventory audits.
- Manage the ordering of essential warehouse and office supplies like labels, shrink wrap, and ink ribbons.
- Ensure compliance with regulatory standards such as HACCP and GDPMDS.
- Maintain a clean and safe work environment in line with company safety standards.
- Serve as the primary point of contact for customer inquiries regarding inventory, order status, and billing.
- Work with the operations team to resolve customer complaints and escalate when necessary.
- Build strong, positive relationships with clients to nurture long-term partnerships.
- Assist in refining and improving warehouse administrative processes.
