As an Administrative Assistant, you will play a key role in ensuring the smooth operation of our office. You will provide administrative support to our team, manage schedules, coordinate meetings, and handle a variety of tasks to help us maintain efficiency and organization. The ideal candidate is proactive, resourceful, and has excellent communication skills.
*Key Responsibilities:*
- Manage and maintain executives’ schedules, appointments, and travel arrangements.
- Answer and direct phone calls, emails, and other correspondence.
- Organize and maintain files, records, and databases.
- Prepare and edit documents, reports, and presentations.
- Coordinate and schedule meetings, conferences, and events.
- Assist with office management tasks, including ordering supplies and maintaining office equipment.
- Handle confidential information with discretion and professionalism.
- Provide general administrative support to the team as needed.
*Qualifications:*
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
- Able to communicate, written and read in Mandarin and English.
*Preferred Qualifications:*
- Experience with office management software (e.g., SharePoint, Trello, Asana).
- Familiarity with basic bookkeeping and financial management.
- Knowledge of office equipment and troubleshooting.
